Position Summary:
The classification is responsible for coordinating and implementing registration and academic records services for the College. Responsibilities may include providing information to students on academic requirements; approving admission of new students; ensuring compliance with organizational policy; and performing the duties of the lower levels.
The Assistant Director of Student Records is a key member of the Admissions & Records Department and provides leadership and supervision a team of five specialists. Primary responsibilities include maintenance and custody of student records including all transfer evaluation activities, conferring degrees and certificates, coordinating collegewide Commencement activities; enrollment and degree verification via the National Student Clearinghouse (NSC) and issuing of official SPC transcripts. Assist in overall management of administrative and functional operations of the office including ensuring the integrity and accuracy of student records in the student information system; ensures all student records are maintained in adherence to the Family Educational Rights and Privacy Act (FERPA) and applicable federal, state and college regulations. Expected to understand state and federal policies and procedures for college degree requirements and certification from St. Petersburg College.
Reports to and provides direct support to the Director of Admissions & Records. The Assistant Director of Student Records is expected to handle multiple responsibilities, solve complex problems, and ensure that systems and processes meet service expectations for students, faculty, staff and third parties. Assists with database maintenance, including research and reporting. Assists with selection and testing of new applications and existing functionality with system upgrades; identifies test cases and works directly with internal and external technical staff as required.
Requirements:
Requires analytical skills with an in-depth knowledge of information systems and technical expertise, including Microsoft Office365 (Excel, Powerpoint, Word, Outlook), internet, Oracle Peoplesoft - Campus Solutions, Perceptive Content and Hyland Brainware. Knowledge of, and ability to interpret, SPC policies and procedures. Manages a dynamic team and oversees all training, supervision, professional development and evaluation of staff to ensure a climate of collaboration and teamwork. Education:
Bachelor's degree, Masters preferred
Experience:
Five (5) years of experience in higher education, experience with admissions and academic records preferred.
