Position Summary

The Senior Payroll Administrator role coordinates the activities of the payroll process, establishes appropriate workflows and procedures; develop, and manage productivity and performance standards while abiding by AMIkids guidelines, compliance, and federal, state, and local regulations.

Essential Job Functions

  • Establish payroll workflows and procedures and update as needs change,
  • Prepare and oversee import and processing of payroll through payroll software within established deadlines and in compliance with applicable laws,
  • Review, analyze and check payroll reports for accuracy and makes necessary corrections,
  • Collaborate with Human Resources, Finance, and other departments to ensure accurate and timely integration with payroll,
  • Ensure compliance with federal, state, and local governmental laws, regulations, and guidelines,
  • Coordinate workflow of Programs and support team to ensure payroll is completed within established timeframe,
  • Verify and reconcile payroll data,
  • Review PCNs/Incentives and import into payroll system on a timely and accurate basis,
  • Establish employer withholding and unemployment accounts and other related employer accounts with the various agencies for new Entities/Jurisdictions and make changes as required,
  • Reconcile payroll deposits, tax withholdings, wage garnishments, and voluntary deductions,
  • Process and review all garnishments, levies and child support orders including initial review of notice, verification of proper garnishment of wages, and remittance of payments to the appropriate agencies,
  • Develop and communicate payroll schedule to appropriate Program and Home Office Team Members,
  • Prepare and/or review monthly payroll and pension reports and development and/or generate ad hoc payroll reports as needed,
  • Manage and execute year-end payroll activities, including distribution of W-2s and filing of W-3s,
  • Validate filings have been processed by third-party,
  • Maintain pension participant data within the record keeper's system,
  • Prepare pension funding documentation,
  • Work with third party pension administrator to reconcile annual contributions,
  • Provide support to Team Members regarding payroll, pension, and other related matters,
  • Identify and resolve payroll issues as they arise,
  • Coordinate and interact with federal, state, and local agencies on issues pertaining to Team Member compensation and deductions and address and resolve tax filing and payment issues with third party payroll providers and/or tax agencies,
  • Participate/assist with training administrative Team Members and in-house support on general payroll procedures,
  • Work with and provide requested documentation to external auditors for pension and financial audits,
  • Assists/leads with special projects and other duties as needed.

Minimum Education, Training and Experience

  • HS Diploma/GED,
  • Bachelor's degree in accounting/finance preferred,
  • Payroll Certification (CPP) preferred,
  • Minimum of four (4) years of payroll experience in multi-location and multi-state environment,
  • Prior leadership/supervisory skills preferred,
  • Proficient in payroll software,
  • Strong understanding of federal and multi-state payroll taxes and state and federal payroll regulations,
  • Intermediate proficiency with Microsoft Office Windows (Word, Outlook, Excel, Teams,
  • Effective (written/verbal) communication skills,
  • Attention to detail.

Education
High School of General (required)
