ABOUT THE JOB

Responsibilities:

Bid and Proposal Administration

  • Manage and track online bid opportunities through multiple online applications.
  • Successfully managing multiple RFPs from receipt through final response.
  • Compile all elements required of the RFP, including quality analysis, operational plan, pricing, and ensure timely submittal of all bids.
  • Prepare budget proposal letters and bid packages for submittal.
  • Provide through customer data analysis and guidance for response team to assist their development of proposals.
  • Facilitate all proposal milestone meetings (strategy, kick-off, review meeting) for proposal response team.
  • Collect, compile and format proposal content (drafts and final versions).
  • Make recommended corrections to bids as necessary.

Inside Sales Support

  • Research regional customers, suppliers, competitors, and logistics to identify sales opportunities.
  • Reporting: Prepare standard recurring and custom reports to support cross functional stakeholders, and maintain metrics on bid process.

    Client Engagement

    • Builds relationships and provides high level of service to retain/enhance customer satisfaction.
    • Maintains high level of communication to ensure customers are well informed.
    • Maintains customer files and profiles.

      ABOUT YOU

      Experience

      • 1-3 years of experience in Customer service / Sales experience, project management or bid administration.
      • Understanding of contracts and bid processes
      • Experience with bid software helpful: BidNet, BidPro, Questdn, SmartProcure, Onvia, or BidPrime

      Skills & Capabilities

      • Attention to detail and commitment to quality results.
      • Ability to effectively manage multiple concurrent projects and multiple priorities.
      • Strong writing and editing skills.
      • Proactively contribute content and generate ideas for technical and management proposals.
      • Microsoft Office Suite (Word, Excel, PowerPoint)
      • Experience presenting information and responding to questions from a variety of participants.
      • Strong math skills.
      • Proficient at conducting research.
      • Ability to prioritize, multitask, and shift priorities as necessary.
      • Ability to work independently and as part of a team.
      • Continuous Improvement mindset.
      • Exceptional organizational skills.
      • Proactively build positive, supportive, and collaborative relationships.

      • Ability to use computer, phone, and other office equipment.
      • Ability to communicate via phone and in-person with internal staff and external contacts and customers.
      • Ability to travel to branches or customer sites as needed.
